Off-the-shelf vs custom software: how to actually choose

Teams often frame this as build-versus-buy and stall for months. The better question is: which parts of your business are genuinely unique, and which are the same as everyone else's?

Buy the commodity, build the differentiator

Payroll, GST billing, attendance and accounting work the same way for almost everyone. Buying a proven product there gets you live in weeks and keeps you compliant automatically. Building it yourself just means re-inventing something that already exists — and maintaining it forever.

Custom software pays off where your workflow is your edge: a pricing model competitors can't copy, a service experience that defines your brand, a process no product on the market fits.

A quick decision test

  • Is this workflow a legal/standard requirement? → Buy
  • Would three competitors do it identically? → Buy
  • Is this how we win customers or cut cost? → Build
  • Do we need it live this quarter? → Buy first, extend later

In practice the answer is usually "both": a ready product for the commons, with custom modules and integrations around the parts that make you, you. That hybrid is what most of our engagements become.
